E-mail: NYIT will retain email and attachments in inboxes, folders, and outboxes on its centralized email servers for 365 days after emails have been received or sent. In your Microsoft Outlook email account, any email dated 365 days prior to the current date will be automatically deleted from your mailbox. . If you wish to retain an email document, it can be stored in your home directory (Z:).
All faculty and staff have a personal drive (Z: = user home directory) that is located on NYIT’s servers. There are also Department Share directories (X: = department share). These networked drives are backed up regularly.
Business-related electronic files and documents that need to be retained can be stored in either the user's personal home directory (Z:) or the Department Share directory (X:).
To access these network directories on your computer system, go to "My Computer" and click on the( Z: )or (X:): directory as desired. Individual users and department/unit managers are responsible for reviewing the content of these directories and cleaning out as required by NYIT's document retention policies.
